Data Retention Policy
Last updated: August 11, 2026
This Data Retention Policy explains how Horvest trade collects, stores, and deletes personal data and other information in connection with the services provided through horvest-trade.com. By using our services, you acknowledge that your data will be handled in accordance with this policy.
1. Purpose
We retain data only for as long as necessary to fulfil the purposes for which it was collected, to provide our services, to comply with legal and regulatory obligations, to resolve disputes, and to enforce our agreements. Once data is no longer required for these purposes, it is securely deleted or anonymised.
2. Categories of Data We Retain
We may collect and retain the following categories of data:
- Account and registration data — name, email address, and other details provided when creating an account or registering for services.
- Usage and activity data — records of how users interact with our platform, including course progress, session logs, and feature usage.
- Communication data — messages, support requests, and correspondence submitted through our contact channels.
- Payment and billing data — transaction records, billing details, and related financial information processed in connection with purchases.
- Technical data — IP addresses, device identifiers, browser type, and system logs collected automatically during service use.
- Marketing and preference data — records of consent and communication preferences where applicable.
3. Retention Periods
Retention periods vary depending on the category and purpose of the data. The following general timeframes apply:
3.1 Active Account Data
Data associated with an active user account is retained for as long as the account remains open and in use. This includes profile information, learning history, and access credentials.
3.2 Inactive Account Data
If an account shows no activity for a continuous period of twenty-four (24) months, we may classify the account as inactive. Prior to deletion, we will attempt to notify the account holder using the contact information on file. Following notification, the account and associated data may be deleted if no response or activity is recorded within a reasonable notice period.
3.3 Transaction and Financial Records
Payment records and billing information are retained for a minimum of seven (7) years from the date of the transaction to satisfy financial reporting and audit requirements.
3.4 Support and Communication Records
Records of support interactions and user correspondence are retained for up to three (3) years from the date of the last communication, to allow us to reference prior interactions and ensure consistent service quality.
3.5 Technical and Log Data
System logs, access logs, and technical diagnostic data are retained for up to twelve (12) months and then deleted or aggregated into anonymised statistical datasets.
3.6 Marketing Data
Where consent has been obtained for marketing communications, related preference records are retained until consent is withdrawn. Upon withdrawal, marketing data is removed from active systems within thirty (30) days.
4. Criteria for Determining Retention Periods
Where a specific period is not defined above, we determine the appropriate retention duration by considering:
- The nature and sensitivity of the data involved.
- The potential risk of harm from unauthorised use or disclosure.
- The purposes for which the data was collected and whether those purposes can be achieved by other means.
- Applicable legal, regulatory, or contractual requirements that mandate retention.
- Whether the data is necessary to defend or establish legal claims.
5. Data Deletion and Anonymisation
When data reaches the end of its retention period, we will either permanently delete it from our systems or anonymise it such that it can no longer be linked to an individual. Anonymised data may be retained indefinitely for analytical, statistical, or service improvement purposes.
Deletion processes are designed to remove data from all active databases, backup systems, and third-party processors within a reasonable operational timeframe following the applicable retention period.
6. User-Initiated Deletion Requests
Users may request the deletion of their personal data at any time by contacting us at support@horvest-trade.com. We will process such requests in accordance with applicable data protection obligations.
Please note that certain data may be exempt from deletion where retention is required by law, where the data is necessary to complete an ongoing transaction, or where it is needed to resolve an open dispute or enforce an agreement.
7. Third-Party Data Processors
Where we share data with third-party service providers for the purpose of delivering our services, we require those providers to apply data retention practices consistent with this policy. Third-party processors are contractually obligated to delete or return data once the processing purpose has been fulfilled.
8. Data Security During Retention
All retained data is protected using appropriate technical and organisational security measures. These measures are designed to prevent unauthorised access, loss, destruction, or disclosure. Access to retained data is restricted to personnel with a legitimate operational need.
9. Backup Systems
Data held in backup systems is subject to the same retention limits as primary systems. Backups are rotated and purged on a regular schedule to ensure that data does not persist in backup storage beyond its defined retention period.
10. Changes to This Policy
We may update this Data Retention Policy from time to time to reflect changes in our practices, legal requirements, or the nature of our services. When changes are made, the updated policy will be published on this page with a revised date. Continued use of our services following any update constitutes acceptance of the revised policy.
